Using the Cyncly Merchant Portal

Cyncly Merchant Portal - powered by Payments Flex

With Payments Flex, your payments transactions and reporting info are now embedded in your FloorMananger or JobRunner database.

Setting Up Access to the Portal

To access the Portal, you will head to your Admin Panel and click Cyncly Merchant Portal.

If you don’t see this option, someone with access to Report/Admin options will need to complete the following steps:
    • Admin Panel > Report Admin Options
    • Select the User from the list on the left-hand side
    • Click “Add/Remove Features for the Selected User” at the bottom of the column on the left
    • Click Cyncly Merchant Portal from the list on the right so that it appears red

    • Click Done at the bottom of the column on the left-hand side

Payments Tab

In the Payments tab (1), there are 2 sub tabs.
The Payments Sub Tab (2) shows each transaction.  You can click into the line item(3) for more Payment Details.  You can use the filters (4) to reduce your view of transactions.
The Disputes Sub Tab (5) is where you manage disputes.  The video above addresses Managing Disputes.  You can also use view the Help Desk Article on Managing Disputes with Cyncly Payments linked here to access written instructions.

Merchant Tab

Here you will see a list of all Merchant IDs (MIDs).  Click into the one you wish to edit.
Notifications - in this section, you can click the EDIT (1) button to edit notifications as needed.  Type the email in the field (2), click "Add" or press enter on your keyboard, and continue adding any necessary emails to that field.  When done, click the SAVE button, where EDIT initially was.
Fraud Settings - initially, these have been set to industry standard.  The CVV check and Billing Zip code check are active (3).  From here you can choose to be more strict or lenient but clicking EDIT, adjusting the toggles and clicking SAVE.

Payout Tab

This is where you can view reports of what is hitting your bank account with next day funding.  At 11 PM ET, the batch out happens automatically.  The following business day, you can come into your Cyncly Merchant Portal, and view a report showing each transaction that went into that payout.
The Payout tab will have a preview line item for each bank deposit (1).  Clicking into the line item opens up a breakdown of the transactions (2).  You can see the totals at the bottom (3) totaling the amount charged on cards, the credit card fees that were incurred, and the net amount hitting your bank account with Next Day Funding.
You can use the Export button (4) to generate an Excel spreadsheet with the Payout info. This will be used in the Settlement Report process, addressed in a future training.

Statement Tab

Merchant statements will be posted to the Payments Flex Portal on the 5th business day of the following month. For example, the November 2025 merchant statement will be posted to the Payments Flex Portal on December 5th, 2025.
Merchant statements will assist you with reconciliation, understanding what your fees are, and how monthly processing fees were calculated.
In the Payments Flex Portal, merchant statements will be listed by the most recent month. i.e. The most recent month will appear at the top of the “Statements” page, the previous month will appear underneath it and so on.

Terminals Tab

  1. This is where you will pair your terminal.  When the terminal arrives, you will need to install the battery, plug in the terminal, turn it on, connect to Wi-Fi and run the update.
  2. Here is a Help Desk Article with more detailed instructions on setting up your terminal.
  3. Click + ADD (1) to begin the pairing process.
  4. Select the Location you are pairing the terminal with (2)
  5. Give the terminal a name (3).  Name should include both your Company Name & some way to inform your team which terminal this is (ie. ABC Floors Front Desk Terminal).
  6. Enter the 3-word pairing code (4) that appears on the Register This Reader screen.  Be sure to include the dashes. This screen appears after you have connected to Wi-Fi and run the update.
  7. Click ADD (5) to pair the terminal.  The terminal will run through more updates and configurations.  This typically takes about 10 minutes.  You will know the terminal is ready when it goes back to the STRIPE screen.
