Overview
These release notes may be updated periodically for corrections and additions before a patch release is available.
This patch release builds upon the last version release of v22b8.x and v22b10.x. We have provided additional system feature enhancements as well as squashed a few inconveniences. System enhancements and new features are ongoing with your Pacific Solutions’ management systems. It is important to establish an internal education administrator who can constantly stay current on release information and conduct internal education on system enhancements when necessary.
Review Previous Release Notes
System versions prior to v23b7 MUST review the major v22b8x-10x Version Release Notes and all videos before updating.
*Note: your system version is located on the Admin screen in the lower right corner.
Successful Updating Guide
For a successful system update, we suggest your internal education administrator follow these steps before updating your management system:
- Download the available release notes and thoroughly review all changes pertaining to your system type (FloorManager or JobRunner).
- Read through the release notes and highlight significant changes that might affect your current workflow.
- Watch all available videos to learn the design and intent of each system enhancement and feature.
- Schedule time with department heads to discuss any enhancements/changes that directly affect their day-to-day processes. Departments can then adjust any internal documentation for staff.

Be sure to follow all instructions provided by Pacific Solutions before performing any update on your management system. Once the update is complete, *Review the Personnel Access Levels in Admin*.
- It is important to review past release notes if you are updating from an older version. The update prior to this one, has significant changes that need to be reviewed on this webpage: v22 Update. System Enhancements v23b8 Release
Administration

JobRunner Only: Enhancements were made to the JobRunner job controls. Privileges may now be set in a hierarchy of abilities through the Admin > Personnel settings. Please watch this video to learn the intent and design of this enhancement. This is intended to give controller and managerial oversight to the job activities once a project is in progress. The goal is to continue to maintain the accuracy and integrity of the WIP reporting that affects the financial reporting. This feature is not intended to be used to reopen the risks of fiscal irresponsibility. Business Controllers would have one level of capabilities for changes at jobs and Managers would have a lower capability for changes at jobs. Controllers and Managers will then unlock jobs to provide other users very specific and supervised capabilities for a period of time. For example, a no-charge change order needs to be open for the fiscal month period so that ongoing additions can be made during the month. A Controller who has access to unlock a job and make every kind of change, could unlock this no-charge change order and choose which of their capabilities they want to allow on this change order until the end of the month for all users. The Controller (or Manager) might only allow users to add lines and modify budgeted cost. Changing line dates and relooking up labor lines, etc. would not be allowed for other system users even though the Controller has this power. The Controller (or Manager) chooses what other users can do at an unlocked job and for how long. Please read this in depth article: JobRunner Project Controls.

**Important: When you update, the ability to change projects will be restricted for every user. You must set users' permissions in personnel access for the "enable unlocked RR job modifications". Your day to day activities could be significantly disrupted until you set permissions for each user.**

**Important: If you had the JobRunner Project Controls lifted during the last update for v22b10x, understand that the lockdown will automatically be back in place so that you can go to personnel and give permissions to your users. Pacific Solutions cannot lift them. This is now under your own jurisdiction.

Restrict PO Access (SP). This restriction in personnel access is to restrict users to viewing their own purchase orders only. The user must be the sales person, or the ordered by person on the PO in order to view that purchase order. This will restrict users from viewing stock POs and purchase orders made by others. It is recommended that purchasing agents are not set to a restricted status. Purchasing agents need to view all purchase orders.
General Accounting

We have introduced a new tax type called Paid To Source (PTS). This tax type is used when taxes are being charged to you on your vendor bills and you are calculating tax on the cost of materials at the job. There are two options for this tax type; PTS inc Freight and PTS w/o Freight. Paid To Source which includes freight so tax is calculated on the material cost and the freight cost, or Paid to the Source which does not include freight so tax is calculated only on the material cost.

**Note: the introduction of this new tax type will move all anticipated tax from the job through to the purchase order. This includes the new tax type as well as the silent use and use tax types. Self-assessed use tax that is not charged by the vendor, will need to be cost verified at zero dollars in the AP cost verification process.

Canadian and Overseas Clients: PST has a refinement in its calculation to not include overhead before calculating PST at the job. The tax report was never affected by this and still remains accurate.
Opportunities
- Sales goals now display in the pipeline.
Claims
- Job number and PO number fields have been added to the Claims record. Presently these fields are manually entered and do not pull from any associated job or purchase order. The language of these fields are controlled by the Languages feature in Admin. Users may search for claims by job# and PO# with the search fields on the find screen labeled Original Job# and Original PO#.
Product Catalog
- Gateway changed their manufacturer locations and we have accommodated the change in the B2B import area for the Gateway import.
- Mohawk switched the unit of measure on rolled goods from SY to EA. We have accommodated the change.

Mohawk has switched to SFTP (secure file transfer protocol). Mohawk has reset all of their users' login credentials with the change which caused the public key to need a reset. We have added the ability to reset this key when needed in the B2B Configuration. Please contact our Help Desk if you experience errors with Mohawk B2B downloads.

Product Catalog now holds general class and sub classes of products from the B2B standard. Product Structure and Product Catalog will accomodate these classes. The gives the ability to convert only selected sub classes when brining in B2B pricing.
Customers | Contacts
- Flagging a contact in the customer file can be associated with a value list of reasons for the flagged status. Create this list in the Admin>Value Lists area.
Quotes | Proposals
- The Find All button is now on a Personnel access switch. This change was made to encourage users to use the find function more effectively in order to increase system performance. Finding all records in legacy systems with 6+ years of data becomes strenuous on performance. The personnel access box is called "Isolate Quotes (List View)". Quote/Proposal performance speed issues will be improved by turning this access on. Turning it off will place the Find All button back on the list view screen and potentially slow down performance in that area.
- Find screen includes a search field for bundle description.
- Measure Square and Callidus imports now use a bridge file map to provide tighter integration when building proposals. For more information and a demonstration, please see this help center article: Measure Square Import.
Sales | Orders
- The pick ticket now prints in the same order it is viewed on the screen.
- The Ship Via information has been added to the status tab's PO section when using the expanded button to view details. This information will also print when printing the status tab details for POs.
- Job Start Date

The job start date has been added to the status tab's PO section when using the the expanded button to view details. This job start date will also highlight in red when the job start date is red at the PO indicating that the expected date of arrival will not meet the job start date. For more information on the Lead Time feature, please see this Help Center article: Material Vendor Lead Time.
- When the job start date on the job has been modified, this date change will be reflected at all associated POs job start date fields. This date will only change the work order job start date if the date on the work order has never been modified directly at the work order. Once a new date has been established at the work order, that date will retain even if the start date is modified at the job.
- Find screen includes a search field for bundle description.
- Mission Control
- Mission Control has a bit of a rewrite on user interface. The color selections for buttons follows the job milestone light colors now to make is easier for users to select the desired status. For more information, please read this Help Center article: Mission Control Overview and Applying a Filter.
- Job Start Date status light. This new status light indicates when the job start date has been confirmed. A blue "c" will display in Mission Control if the job start date light is illuminated indicating that the job start date has been confirmed. Click the Job Start Date status light to confirm the start date (blue) and click it again to unconfirm the start date (grey). This is intended to be toggled manually.
- Install Complete status light. Clicking this status light will turn the light from grey to blue. Blue indicates that all the installation on that record has been completed. Clicking the status light again, will turn the light back to grey, indicating that the installation is not complete. This is intended to be toggled manually.

The new mission control job status lights have been added to the exports of mission control and to the sales analysis written and invoiced reports.
- Mission Control now adheres to the users' restrictions for viewing their own data only and their assigned branch. The filter and search results checks to see if the Restrict Sales Access (SP) is turned on and if the Restrict Sales Access (Branch) is turned on in personnel access.
- Commissions
- Validations have been added to restrict changes once a job has had commission set and paid established. Once the job is marked commission set and/or commission paid, users will no longer be able to change the sales person's name, add a second sales person, change the commission splits or delete a sales person. Commission must be cleared before making these changes.
- The commission split percentages are captured at the time commission is marked set and/or paid in the expanded commission screen. This is located at the status tab.

QuickSale

A new switch in admin is available so that a warehouse designation is not necessary at a QuickSale. Users may still require warehouse designations when receiving. This is a separate switch for just the quicksale.
- JobRunner Only: Auto Relock of Sales: JobRunner now auto locks all Rev Rec (percentage completion) jobs when they are transferred from a proposal to an order. Legacy jobs that are not locked will auto lock when users navigate to those jobs. The new project controls in JobRunner is how access to unlock jobs is given and how jobs are re-locked after unlocking them.
Purchase Orders
- Print PO with Cost. The print option of the purchase order to print with costs has been enhanced to print the freight 2 and tax cost. This print now shows all the costs that total up to the purchase order value.

PO prints now omit the "will advise" tag in the expected date field when printing POs.

Attachments
Document attachments touch many files in the system. Attaching documents is possible at the proposal, the order, the invoice, the purchase order, the work order, and the payables record. AP type attachments can be seen at the purchase order, the payable record and in the profits tab in the material analysis screen. The way attachments flow from record to to record has had enhancements to provide better control over visibility and accessibility. This particular functionality has been listed in its own category since it touches so many files and records.
- The type of the attachment can be modified from the AP type to a different user defined type. Only AP typed attachments will share automatically between the PO and the AP records.

File Folder Button added. There is now a file folder button on the Forms Tab in the Docs area on each record (PO, WO, Invoice). This file folder button is used to add documents to the record from the job. The sales order is now the file hub for attachments. These attachments can be viewed through the file folder button at other job related records. Users may then select the files they wish to have attached at the work order, the purchase order, the invoice and so on. All files from the job are viewable and accessible everywhere however not all files need to be attached to all records. Files attached at the quote will still transfer over to the job as attachments. This new feature now distinguishes files as either attached to the record or simply viewable from the record.

Document cloud storage capabilities are now in a live beta phase. This will be available after the User's Conference.
Email
This functionality touches multiple files and records. It has been listed in its own category.

Email OAuth has had additional performance improvements.
- Send general email correspondence from proposals, orders, work orders, purchase orders and invoices. Use the new envelope icon next to the email address in the record header to send an email. This works the same way as sending a general email from the opportunities area.
Reports

Inventory Analysis Report: When multiple jobs are associated with an inventory record, the report now displays an "M" (for multiple). Click the "M" to view the job#s associated with the inventory record.
- The new Projected Commission Draw report, as of this writing, is in a closed beta testing phase. This will not be available for activation until after the User's Conference.
- The new Sales and Use Tax report with tax true up, as of this writing, is in a closed beta testing phase. This will not be available for activation until after the User's Conference.
Warehouse Management Module

The existing value list for Bin Locations is now a drop down list in the bin location look up area of warehouse management module.
- *Note: remember to enable all of your warehouses in the home screen settings if you are updating from before v22. The settings gear icon at the home screen in WMM has a warehouses button that allows you to enable and/or restrict warehouses in the WMM. Your warehouse module will not operate properly without warehouses enabled. Settings are based on devices, not login credentials, changes must be made on each device.
General Fixes:
We improved the Notify Me functionality for intermittent email issues. Notify me logs will now drop from the log once they have been fulfilled.
We improved the rounding when transferring a proposal to a sale.
We addressed an infrequent issue where budget adjustments would sometimes duplicate.
We addressed an issue where sometimes a project invoice would not be created because some unselected lines on the project were dated prior to the invoice date.
We improved the JobRunner use tax calculation to the trending over/under billing.
We improved performance in AP when modifying a bill for labor the system would occasionally stall.
We fixed an issue when searching for not awarded proposals to now display proper results.
We improved user experience in the activity log by removing blank lines.
We addressed reports of emails displaying symbols in a few environments.
We corrected an Inventory bar code event that some users experienced.
We addressed an infrequent issue in the Installer holdback feature for JobRunner on project holdbacks.
We fixed the AR totals refresh in the dashboard for certain systems.
We improved the user experience when toggling between graphs and no graphs in the Opportunities pipeline.
We enhanced performance in the opportunity pipeline when no data is present for the number of days entered.
We removed the refresh button in the list view at proposals and orders to improve performance.
We removed the "rev rec" filter in mission control for FloorManager systems since this is a JobRunner only filter.
We modified all fields that were labeled credit card number or credit card type and replaced with them with "ref#" or "memo". This is in preparation for credit card processing.
We modified the labor catalog to open on the list view instead of the record view. When navigating to the labor catalog, users will see the list view first.
We improved the change order history report in some instances where the contract totals would double.
We improved many core accounting report date input interfaces. Reports that do not require a date range entry (i.e. "as of date" reports), the date range fields has been removed.
