Inventory Adjustment Error Messages Defined

Overview

Adjusting inventory can be accomplished by using the inventory list view adjustment or by using the Edit button on specific inventory records. Each of these methods runs through a series of validations.  If an adjustment cannot clear a validation, the system reports an error message as to why the adjustment cannot be completed.

Adjustment List View Error Messages

The error messages listed below are the stops in validation you might encounter when performing an inventory adjustment. Only physical adjustments can be made through the inventory list view method. Cost adjustments must be made through the Edit button method at the specific inventory record.

This first list is the list of error messages seen in the list view method of adjusting inventory.

Message:  Item not cost verified

The inventory record has not been cost-verified in full. Check the cost tab on this record to see what quantities of the record have been cost-verified through a payable. The record cannot be adjusted until the ordered quantity has been verified in full. Correct the cost verification quantity to adjust the record.

Message:  Item not received in full

The inventory record has not been received in full up to the ordered quantity. The record cannot be adjusted until the ordered quantity matches the received quantity. Correct the received amount to adjust the record.

Message:  Item not delivered up to invoiced quantity

The inventory record shows an invoiced quantity that is greater than the delivered quantity. The record cannot be adjusted until the delivered quantity matches the invoiced quantity. Check the Alloc/Hold tab to see which quantities of the record have been invoiced but not delivered. Deliver the quantities that show invoiced to adjust the record.

Message:  Item reserved

The inventory record shows quantities allocated/reserved on jobs. The record cannot be adjusted below the total reserved/allocated quantity. Correct the allocation/reserved amount of inventory to adjust the record. The Alloc/Hold tab will display all jobs that have quantities reserved.

 

Record Editing Error Messages

This second list is the list of error messages seen when using the Edit button method of adjusting inventory. Although the messages here are slightly different in their description, they are simply longer versions of the previous messages from the list view adjustment method messages.

Message:  Items must be cost verified before adjustments can take place

The inventory record has not been cost-verified in full. Check the cost tab on this record to see what quantities of the record have been cost-verified through a payable. The record cannot be adjusted until the ordered quantity has been verified in full. Correct the cost verification quantity to adjust the record.

Message:  Inventory must all be received before adjusting

The inventory record has not been received in full up to the ordered quantity. The record cannot be adjusted until the ordered quantity matches the received quantity. Correct the received amount to adjust the record.

Message:  A greater quantity of inventory has been invoiced than has been recorded as delivered

The inventory record shows an invoiced quantity that is greater than the delivered quantity. The record cannot be adjusted until the delivered quantity matches the invoiced quantity. Check the Alloc/Hold tab to see which quantities of the record have been invoiced but not delivered. Deliver the quantities that show invoiced to adjust the record.

Message:  This item cannot be adjusted because the new quantity is less than the amount reserved

The inventory record shows quantities allocated/reserved on jobs. The record cannot be adjusted below the total reserved/allocated quantity. Correct the allocation/reserved amount of inventory to adjust the record. The Alloc/Hold tab will display all jobs that have quantities reserved.

Message:  Costs on rev rec inventory cannot be adjusted outside of an A/P entry

The inventory record has been marked Revenue Recognition and cannot be cost-adjusted unless the record is re-verified through an A/P entry across the entire quantity. If a portion of the inventory is being cost-adjusted because it is becoming attic stock material, this portion must be transferred off the original record and cost-adjusted at the new inventory record.

Message:  Pending inventory items cannot be adjusted. The PO they are associated with must be ordered

The inventory record has a status of Pending. The Purchase Order has not been ordered yet. If there has been a change in the quantity ordered, the Purchase Order can be adjusted and will reflect on the inventory record. Inventory records must at least have a status of Received to be able to attempt an adjustment.

Message:  The costs on this item should be verified or adjusted through a vendor bill or credit, are you sure you want to continue?

This message indicates that a cost adjustment is being made directly at the inventory record. The message is asking you to verify that you understand costs are normally generated through A/P as bills or credits. This message is asking for confirmation that you understand you are cost-adjusting this record OUTSIDE normal system processes.

Message:  This item has already been cost verified.  If this inventory item has been assigned to any previous Sales Agreements YOU WILL affect past sales data.  Are you sure you want to continue?

This message indicates that an original A/P bill has already cost-verified this inventory. It is a warning that if you continue to re-cost verify this inventory record ALL jobs associated with this record will be affected by the new cost. This message is asking for confirmation that you understand the effects this process will have on existing jobs. If you are attempting to adjust cost on just a portion of the inventory record’s quantity, transfer this portion to a new inventory record and re-cost the quantity at the new record.

Message:  You cannot choose an asset account to offset the new inventory entry to.  The system will automatically debit the Inventory Account and a non-asset offsetting GL Account entry is needed to continue

Inventory records cannot be adjusted physically or financially to another asset account. When you adjust an inventory record the system automatically posts to the inventory asset account.  The only control you have is over the offsetting GL account. Select an account that is NOT an asset account to post the offsetting side of the posting. This is usually a purchase account or an expense account.
