Accepting Customers, Vendors, Subcontractors/Installers

Accepting Customers, Vendors, Subcontractors/Installers

In order to Accept a Customer, Vendor, Subcontractor or Installer in the database, there are some required fields that need to be selected.

Accepting Customers

The following fields are required for a Customer to be accepted:

(1) Customer Name

(2) Tax Code
(3) Terms
(4) Tax Type
(5) GL Sales Account
(6) GL Tax Account
(7) Retainage (this is not a required field, but if a customer has retention set, it's helpful to go ahead and add that information in while you are setting up the customer)

Once you have selected the required fields, use the Accept button at the top of the screen:

Accepting Vendors

The following fields are required for a Vendor to be accepted:

(1) Vendor Name

(2) Remittance Address (you can use the Fill From Main Address button if the address is the same)
(3) Vendor Type
(4) Terms
(5) Default GL Account

Once you have selected the required fields, use the Accept button at the top of the screen.

Accepting Subcontractors

The following fields are required for a Subcontractor to be accepted:
(1) Name
(2) Remittance address: you can use the Fill From Main Address button if the address is the same
(3) Type: Subcontractor
(4) Terms
(5) GL Account (see note below)
(6) 1099 Selection: This is always 1099 Vendor
(7) 1099 Type: This is always Non-Employee Compensation

Once you have selected the required fields, use the Accept button at the top of the screen.

Note on Default GL:  The system will primarily look to the Labor Account in the Store Information (1) over the Default GL Account in the Subcontractor Record (2).  It is good to have an account listed in the Default GL Account field as backup, but the system will mostly look to the GL mapped in Store Information:

Accepting Installers

The following fields are required for an Installer to be accepted:
(1) Name
(2) Remittance address: you can use the Fill From Main Address button if the address is the same
(3) Type:  select Hourly or Salary for installers on payroll
(4) Terms
(5) GL Account (see note below)
(6) Installer Type: the values in this list populate from the Hourly Labor Matrix.  Edits to the HLM can be made by clicking Hourly Labor Matrix from the Admin Panel.

Note on Default GL:  The system will primarily look to the Labor Account in the Store Information (1) over the Default GL Account in the Subcontractor Record (2).  It is good to have an account listed in the Default GL Account field as backup, but the system will mostly look to the GL mapped in Store Information:

Once you have selected the required fields, use the Accept button at the top of the screen.
