DocuSign

DocuSign is an eSignature capture solution.  When it is connected with Pacific Solutions, it allows you to send a proposal, Sale, Form, or Invoice electronically to your customer.  Anything that requires a signature to authorize before proceeding.  Your customer can sign the document electronically from any play on almost any device and it is automatically returned to you.  It can be downloaded directly into the Forms tab of your Proposal or Sales Order.

Requirements

  1. Your company must always be current on Pacific Solutions' maintenance subscription and running a compatible version of JobRunner or FloorManager as well as Claris FileMaker (the database engine). 
  2. For security purposes, you must maintain a current SSL certificate for external connectors such as DocuSign.
  3. Create your subscription and online account with DocuSign (www.docusign.com) and obtain your DocuSign account login information.  **It is highly advised that each individual that will be using the DocuSign services should have their own unique login which is attached to their email account.
  4. Request DocuSign integration activation from Pacific Solutions. 

Setup

Once DocuSign integration has been activated by Pacific Solutions, you'll need to perform these steps:

API Services

Access the Admin > API Services button in your floor management system.
Toggle the Docusign indicator to "Live"


Personnel Access

DocuSign is a feature that will only work for the system personnel that you specify.
Access the Admin > Personnel > Access Level tab for the desired personnel.
In the Navigation Access column, check the box for Allow DocuSign Requests


Generate a DocuSign Request

In your system, find the target document (such as a Proposal)
Access the "Print" button in the top Action Button bar and ensure "Email" is checked. 


Generate DocuSign Request

On the Email screen, note that the document is already attached as a PDF.  
  1. Access the "Docusign" tab;
  2. Select any additional forms* that you wish to accompany the main PDF (such as a Letter of Transmittal)
  3. and "Send Docusign" at the bottom right.

*Forms available are Proposals, Orders, G702/703, Letter of Transmittal, (CA Civil Code) Conditional Waiver and Release, California Preliminary 20-day Notice, or 
Customized Forms created by Pacific Solutions. 


DocuSign Login

The system will launch a DocuSign login screen so that you may proceed with your Request process.  **It is highly advised that each individual that will be using the DocuSign services should have their own unique login which is attached to their email account.


Confirmation

Once your form(s) have been submitted on DocuSign's website, the system will alert you that the DocuSign Request has been sent.


CRM Tab to Track Status

The Customer Relationship Management (CRM) tab will diplay your Docusign activity. 



Track Status

Use the magnifying lens at left to access details.   Click the "Status Check" button to get status from DocuSign.


Download Completed Document

Once the status is "completed", a new button will appear to "Download".


Forms Tab > Docs holds Completed Documents

The downloaded documents will be found under the Forms tab > Docs area.

Troubleshooting

If a user is receiving a Code:400 Error, please expand the window to view the whole message.  You’ll see Suspended – Suspension Status “freetrialexpired”.  This will not allow the user to send out their DocuSign.  Once the user gets on a paid subscription account with DocuSign, they will be able to reset their account.

 

If you go to that user’s profile, there is a “Reset DocuSign” button that will clear the token.  The user will then be able to log back in.
