Overview
Placing a Hold against a material record prevents that record from being Sellable and therefore cannot be allocated to another job. These Hold’s can be specific to a Quote or a Sale. A Hold can also just be “general” on the material record (still disallowing any quote or sale to allocate it.) It is a good idea to periodically “release holds” that have expired.
Setup Process
Most systems have a default Hold period of 5 days. To check your default Hold days, go to Admin > Defaults
Placing Material on Hold
Putting a product on Hold happens in these manners:
At the Quote
We can click on the PID# field and use the Search to check Inventory for material currently OnHand/Sellable. The Inventory record has a green “Link to Proposal” button at the top and we specify the Qty to hold. This populates the Quote with a bright green “i” inventory indicator. Once the Quote is transferred to a Sale, then we allocate and deliver as usual.
In a Sale
We can use the regular “i” inventory icon to Search for product.
We can search for the product that is on order (sellable) but has not yet arrived, thus placing a “hold” against a part of the order from the moment it hits the warehouse door. This will get a red “H” on the job line.
When the material arrives and is received in the Warehouse, the red “H” will change to a bright green , alerting you that it has arrived. Simply click on the green “H” and when the Inventory Allocation screen appears, click “Reserve”. This goes back to the Entry tab of the Sale and gives the line a red “A”.
At the Inventory record
You can place a direct hold by clicking “Hold Inv” at the top of the screen. Notice that the default # of Days to Hold and the Hold Expiration date are set immediately.
